  • Assessing cleaning needs: I input information I have gathered from my initial contact with the client (form sign ups, meeting transcripts, everything I have) to evaluate what their goals are, expectations, budget, and whether there are any specific requests (like focusing on promoting eco-friendly cleaning solutions).
  • Plan: Based on their budget, the client request, my team’s capacity, and the initial audit, AI can help us craft a personalized marketing plan for them, whether it is for SEO, Paid Ads or any other service.

Here are just a few examples we have discussed in past webinars:

  • Automating scheduling and follow-ups: At Cleaning in Motion, I used to spend quite a big chunk of my week managing appointments with my clients, potential hires, prospects, you name it.

    Now, I let ChatGPT find time slots for me on my calendar. It sends confirmations, reminder emails, and even reschedules when things change. After calls, it drafts follow-ups so I don’t have to. This setup freed several hours a week.
  • Managing service requests: Imagine having to go manually through every GBP profile you manage to see if someone left a review to answer it. This would be crazy!

    At Cleaning in Motion, keeping track of client activity used to eat up hours every week. Now, we use AI combined with automation tools like Make and Zapier to get notifications when a client leaves a review on Google Business Profile or when a client is marked as interested or won in our pipeline. The system automatically alerts the team, so everyone knows exactly what’s happening in real time. The result? No missed updates, faster follow-ups, and hours saved each week—time my team can spend on strategy, campaigns, and helping clients grow.
  • Generating proposals: I’m pretty sure you can spend half a day drafting a personalized proposal for a prospect, I used to in the past.
    Now, I use Manus AI to speed things up. It can analyze multiple sources—PDF reports, web pages, URLs, you name it—and turn all that data into a compelling audit or proposal for clients and prospects. Manus helps me create recommendations based on the client’s needs, location, budget, and service frequency, so every proposal feels tailored without spending hours manually compiling information. The result? Faster, smarter, and more persuasive proposals that impress clients and save our team a ton of time.

The beauty of AI is that it frees up your team to focus on more strategic work—like improving customer relationships or expanding into new markets—while handling the repetitive, time-consuming tasks behind the scenes.

Now, if there’s one thing I’ve learned by working with 100+ commercial service clients, it’s that staffing can be a nightmare. Overstaffing is a waste, and understaffing keeps our teams at max capacity and stressed. The same can happen to you in your HVAC, landscaping or parking lot maintenance business. 

The good news is that, by using AI to predict staffing requirements based on factors like:

Now, let’s talk about something I know you’re all dealing with—social media. It can feel like a full-time job just trying to keep up, right? But here’s the beauty of AI: it can do a lot of the heavy lifting for you.

  • Optimal Posting Times: AI can also help you schedule posts at the perfect time when your audience is most likely to engage. No more guessing—AI’s got you covered.
